Grant Readiness Checklist for Small and Medium-Sized NPOs

Helping NPOs qualify for grants and attract donor confidence.

1. Organizational Foundations

• Legally registered with updated certificate of incorporation
• Current constitution or governance charter in place
• Active Board providing oversight and strategic direction
• Clearly defined organizational mission and vision
• Strategic plan covering at least the next 3 years

2. Financial Systems & Control

• Updated accounting records using an appropriate accounting system
• Clear segregation of duties (authorization, custody, recording)
• Written finance and procurement manuals
• Documented approval levels and signatory matrix
• Annual audited financial statements for the last 2 years
• Active budget monitoring and reporting mechanisms

3. Program & Results Management

• Clear program goals aligned with at least one SDG
• Logical Framework or Results Framework developed
• Evidence of completed or ongoing projects
• System for tracking outputs and outcomes (M&E; framework)
• Documented lessons learned and success stories

4. Donor Compliance & Grant Management Capacity

• Staff trained in donor compliance (USAID, EU, DFID, etc.)
• Internal policies for cost allocation, timekeeping, and procurement
• Documented grants management procedures
• Regular internal reviews of compliance performance
• Updated bank account and financial controls for restricted funds

5. Communication & Visibility

• Up-to-date organizational profile or capability statement
• Active website and/or LinkedIn presence
• Documented success stories or impact reports
• Clear branding and visibility plan
• Ability to produce timely narrative and financial reports
